Essential Newborn ID Documents in India

New parents in India need three key documents for their newborn: birth certificate, Aadhaar card, and passport.

    Here's what each covers:

    Birth Certificate

A birth certificate is a government document issued by a municipal corporation within 21 days. It is the proof of date, time, place of birth, and parentage.

Why You Need It: To create an Aadhaar, a passport, School admissions, healthcare, vaccinations, and basically any situation where someone asks, “Can you prove this child is yours?”

    Aadhaar Card

It is India's 12-digit unique identification number issued by UIDAI, created using parents' biometrics (scan) + baby's birth certificate and photo. No fingerprints for kids under 5, updated later.

Why You Need It: It unlocks bank accounts, ration cards, hospital treatments, school fee waivers, mobile connections, direct benefit transfers for scholarships/pensions, and most govt services.

    Passport

It is an international travel booklet valid for 5 years for newborns, applied online via the Passport Seva portal with parents' passports, Annexure H consent form, baby photos, and birth proof.

Why You Need It: It is mandatory for overseas trips, applying for foreign visas/OCI cards, enrolling in international schools, and serving as strong proof of Indian citizenship for global opportunities.

How to Get a Birth Certificate in India?

    Step 1: Hospital Notifies

The hospital submits Form 1 to the municipal registrar electronically via the CRS portal with baby's name, date/time/place of birth, and parents' details.

    Step 2: Detail Verification

You will receive an SMS/email with the Application ID. Log in to crsorgi.gov.in > "View Status" > Confirm/correct details (name, gender, address).

    Step 3: Upload Documents

You will need to upload parents' Aadhaar/Voter ID, address proof, hospital discharge summary, and marriage certificate (optional). Self-attest PDFs under 5MB each.

    Step 4: Registrar Verification

Local registrar (municipal office) cross-checks records. Rare queries are sent via SMS, and you need to respond within 3 days with extra proof.

    Step 5: Download Certificate

Status changes to "Registered." Download/print digital birth certificate from CRS portal (free first copy, valid nationwide).

After you get the birth certificate, you can get the Aadhaar card for your baby.

How to Get an Aadhaar Card for Your Baby?

Next up is the Aadhaar card. While it’s not mandatory for babies, it’s highly recommended. Here’s how to get it:

Step 1: Visit an Aadhaar Enrollment Centre

Find the nearest centre via the UIDAI website: https://appointments.uidai.gov.in.

No appointment is needed for children under 5.

Step 2: Fill Out the Enrollment Form

    - Provide the baby’s details, including name, date of birth, birth certificate, and parent’s Aadhaar information. Note: It gets mapped to only one of the parents’ information.

    - Visit the centre with the form and submit the form for the process to begin.

    Step 3: Submit Documents

Submit Baby’s birth certificate, parents’ Aadhaar card and Address proof.

Step 4: Collect the Acknowledgement Slip

The Aadhaar card will be mailed to your registered address within 60–90 days.

How to Get a Passport for Your Baby

    Step 1: Apply Online

Visit the Passport Seva website: https://portal2.passportindia.gov.in and fill out the application form under the “Fresh Passport” category for minors.

Tips for Getting Newborn Baby Documents Fast

    1. Start Immediately After Birth: The hospital notifies CRS within 3 days. Parents should grab the Application ID at discharge. Verify details on crsorgi.gov.in right away. This ensures you hit the 21-day free window.

    2. Prepare Documents in Advance: Scan parents' Aadhaar, Voter ID, address proof, marriage certificate, and hospital discharge summary. Save them as self-attested PDFs under 5MB each. Upload to CRS, UIDAI, or Passport Seva portals without delay.

    3. Book Appointments Early: Use online slots for Aadhaar Kendra and PSK. Opt for Tatkaal passport processing for 2,000 rupees if urgent. Walk-ins often mean long waits during peak baby season.

    4. Stay Calm: Bureaucracy can be frustrating, but remember, you’re doing this for your baby.
